Appendix 3: Honours Boards of Examiners: Handling EC and CW Grades
Where a student has submitted ≥75% of Honours programme assessment (and has met other requirements for award where these are in the programme specification), and so will be awarded a degree, changes may have to be made to EC and CW grades awarded for courses in Junior Honours or from semester 1 of Senior Honours. For these, a 'Change of Grade' form must be submitted to Registry. The following notes outline the process to be undertaken in different scenarios.
+++
A recorded EC against some courses with <75% of course completed
Any course with Extenuating Circumstances and <75% assessment completion for that course should remain as EC.
---
+++
A recorded EC against some courses with ≥75% of course completed
Any course where ≥75% of the assessment has been completed but there are other incomplete assessment component(s) for which Extenuating Circumstances has been awarded, should have a course grade calculated based on completed assessment components only.
Note that you may still see some MV grades from previous years (MV was the grade recorded in previous years for what we now call EC), and they should be treated in line with EC grades above. It is not necessary to change MV grades to EC for a graduating student who already has MVs on their transcript from before 2025.

CW grades
CW should not appear on a graduating transcript. Any course previously recorded as CW and where a degree is being awarded should be revised to count all missing assessment as H/0 and a grade calculated and returned on that basis. Where a course combines both missing assessment and Extenuating Circumstances, count missing assessment as H/0 and then calculate the course grade based on both submitted work and the missing assessment (now graded at H/0).
